Escrow Coordinator

We are looking for an Escrow Coordinator with 2+ years’ experience working within the homebuilder industry or experience with a title company.

Successful applicant will possess the following experience and skills:

  • Tracking and reports progress of open escrows.  Prepares and distributes sales reports.  Prepares and reviews individual lot escrow instructions.  Processes and keeps all community and sales licensing current with BRE / NRED.
  • Coordinates all pricing reports to release accurate price sheets.
  • Receives Sales Agreements and verifies for accuracy and signatures.  Distributes to buyer, sales, title, lender, and others.  Resolves issues.
  • Reviews and tracks open escrows, coordinating with lenders, title companies, and sales agents. Receives and files Preliminary Title Reports. Verifies lot numbers, property addresses, and buyer information.  Reviews Estimated Settlement Statements, routes for approvals, and returns to title company.  Coordinates any applicable fees or charges. Processes final addendums to reconcile files for closing.
  • Generates accurate reports.   Produces Open Escrow report to show status of escrows.  Prepares Monthly Closing Report and ensures its accuracy.  Prepares Management Reports and keeps binders current.  Produces Lot Status report, to show information by lot.  Prepares other reports as requested.
  • Processes and keeps BRE/NRED Subdivision approvals current
  • Audits escrow files after each community closes to ensure Notice of Complete and Certificate of Warranty received.
  • Proficient in Excel, Word, PowerPoint, and Outlook
  • Other duties as assigned

Administrative Assistant

We are also looking for a Construction Administrative Assistant to work 30 hours per week, Monday through Friday, with 2+ years’ experience working within the homebuilder or construction industry.

Successful applicant will possess the following experience and skills:

  • Provides administrative support to Director of Construction and construction team.
  • Initiates building permit process. Includes preparing building permit applications and delivers to city or county offices.  Follows up to receive approvals and fees.  Delivers checks to pay fees and picks up approved building permits.  Completes school fee applications and delivers to county.  Learns requirements of different jurisdictions for application process.
  • Upon approval of master plan, works with Sales & Marketing Director, President, architects, and civil engineers for finalizing fit list and plot maps.  Upon release of a phase, prints out release schedule and attaches plot plans for internal approvals.   Submits finalized and approved release schedule to purchasing department.
  • Assists in coordinating construction schedule and ensures timely updating by field.  Receives Master Plan submittal responses back from city or county. Reviews for requested information and contacts appropriate party with changes needed.  Once all corrections have been received, takes to city or county for approval.   Delivers approved copies of Master Plan to construction sites.            
  • Provides administrative support including correspondence, construction reports, management binder updates, filing, etc.
  • Effectively communicates verbally and in writing with government personnel, management, and employees.
  • Supports field employees by organizing, scheduling and keeping documentation of required safety training courses.  Orders cell phones, tablets, and other technical devices for new field employees, coordinates ongoing upgrades and replacements as needed.
  • Proficient in Excel, Word, PowerPoint, and Outlook
